If you've ever received a quote for a refurbished Conmed electro surgical unit and wondered whether you're getting a deal or a liability, this checklist is for you. I manage capital equipment purchasing for a 220-person surgical center. Over the past six years, I've tracked every invoice in our cost system—maybe 200 orders, maybe 180, I'd have to check—and it took that many to understand a simple truth: the lowest quote is rarely the lowest cost.

- Write down the model, serial number, and option codes.
- Confirm what's included: foot pedal, hand switch, return electrode cable, holster.
- Ask for the original user manual and service manual.
The first refurbished unit I bought didn't include a foot pedal. The seller said 'standard package' and assumed I knew it wasn't included. The pedal was another $275. Not the biggest line item, but it was the start of a pattern.
Step 2: Verify FDA clearance and intended use
Before you get attached to a price, check the FDA 510(k) database. Search the exact model number and confirm the original intended use. If a seller tells you the unit can do something outside that clearance, ask for the 510(k) for that specific claim. If it's not there, the claim is not supported by FDA clearance.
This matters with terms like 'laser surgery system' being thrown around generically. A refurbished electrosurgical unit is not automatically a laser surgery system, and a laser surgery system is not automatically an electrosurgical unit. Verify what the device is cleared to do.
Also remember: 'refurbished' is a service, not a regulatory category. The original 510(k) stays with the device, and the refurbisher should be able to show their testing protocol. If they can't, that's a serious concern.
Step 3: Confirm integration with your monitoring setup—including biosensors
If you've asked, 'What is a biosensor?'—in the OR context, it's a device that converts a biological signal into an electrical signal. Patient monitors use biosensors to track heart rate, oxygen saturation, and other vital signs. Some newer electrosurgical accessories also use sensor feedback, for return electrode contact quality, for example.
Does your refurbished Conmed unit need to interface with those monitors? The answer depends on your setup. Don't assume. Ask for the interface validation report in writing. If the unit can't connect to your existing monitoring platform, add the cost of a new monitor, extra cables, or a workaround to your total cost calculation.
Should mention: our first trial of a so-called 'plug and play' refurbished unit ended with a service call because no one checked the software version. A 30-minute phone call would have caught it.
Step 4: Calculate total cost of ownership, not just the quote
This is where the value-over-price lesson matters. I compared two quotes for a Conmed electro surgical unit in 2023. One quote was $6,800. Another was $9,400. I almost went with the first until I calculated TCO. The surprise wasn't the price difference. It was the hidden value that came with the higher-priced option: documentation, support, and a warranty that meant something.
Step 5: Request service history and safety test reports
Ask the refurbisher for the device's service history. How many hours has it run? What repairs have been made? What parts were replaced? If the answer is 'we don't track that,' treat it as a warning.
Also ask for the latest electrical safety test report, including leakage current. The relevant standard for electrosurgical equipment is IEC 60601-2-2. A refurbisher who doesn't mention it probably hasn't tested to it. Ask: 'Can you send the IEC 60601-2-2 test report for this serial number?'
I use the same checklist when I'm evaluating a refurbished laser surgery system. Price matters, but the service log and safety test matter more. A well-documented high-use device can be a good buy. A poorly documented low-use device is a risk.
Step 6: Get the warranty and return policy in writing
A 30-day warranty is not enough for a capital device. You need a 12-month parts-and-labor warranty, and it's worth paying 10-15% more for one. Ask who pays shipping if the device fails, whether a loaner is provided, and how quickly service responds. 'It depends' is not an acceptable answer.
Trust me on this one. I didn't fully appreciate warranty terms until a $7,200 'bargain' unit shut down during a routine procedure in March 2023. The repair took three weeks and cost $2,400. The warranty would have covered it if I'd pushed for it.
What I've learned the hard way
The most frustrating part of buying refurbished equipment is the same issues recurring despite clear questions. You'd think a written spec would prevent misunderstandings, but interpretation varies widely. A few mistakes come up again and again:
- Looking at the lowest quote in isolation. The lowest quote is not the lowest total cost. Add training, travel, consumables, and downtime.
- Assuming 'refurbished' means 'FDA-cleared.' Check the 510(k) database yourself, not the seller's summary.
- Skipping integration testing. A biosensor-based monitoring mismatch can cost more than the device itself.
- Using the same process for every purchase. I don't need a six-step checklist for a walker for elderly patients who need a mobility aid at home. It's low-risk and low-cost. But a refurbished Conmed electro surgical unit is exactly the kind of purchase that needs this level of scrutiny.
Final advice from a cost controller: build a TCO template and use it on every capital quote. Let the vendor see you using it. The vendors who push back are usually the ones hiding fees. The vendors who welcome it are the ones you want to keep.
